Will using Bulk Send hurt my sender score, or make me look spammy?

Using Bulk Send in itself isn't going to negatively impact your business. It's using Bulk Send incorrectly that has the potential to hurt your deliverability, decrease your sender score, and make you look spammy.

To use Bulk Send the right way, check out our best practices around sending emails in bulk.

Should I use Bulk Send in Websites or People?

You can use Bulk Send in either Websites or People and it'll work. If the template you’ve selected uses People dynamic fields, like [First Name], it might be a good idea to send from People. However, if you send from Websites, you can easily send to associated People by clicking on the pop-up that appears.

Either tab you choose, you can always switch between Websites and People from within your Bulk Send dialogue, so you have the flexibility to get to the data you need.

How do I find the template I want when using Bulk Send?

By default, the templates associated with your current project will be listed below so you can find and select them easily. However, if you'd like to use a template from another project, you can select the diagram tree icon on the right, or search for a template using the search bar.

How do I set default send settings for a template I'm using in Bulk Send?

To set default send settings (like no reply reminders, or open and click tracking), edit the template itself and add your desired default settings there. Once you do, the Bulk Send tool will automatically use those same settings when you select that template.

How do I preview my emails before sending them in bulk?

To preview an email, click on the ellipses (...) to the right of a contact's email address, then select Preview Email. From there, you'll see the email with all of its merge fields filled in, and be able to send a test email to yourself.

I got this pop-up when using Bulk Send from the Websites list. What does it mean?

There are the five possible errors you can encounter when using Bulk Send in Websites:

  1. Missing Email Address

  2. Select Recipient

  3. Missing dynamic field information

  4. Already Used Email Address

  5. Invalid email

Let's walk through what each one means, and how you can resolve it.

1. Missing Email Address

This error means you:

  • Don’t have an email address associated with this Website (if you’re not sending to associated People)

  • Don’t have a Person associated with the Website (if you’re sending to associated People)

To fix this error, you can click on the error name [Missing Email Address], then either add an email address to your Website from here, or select "Add a new person" from the dropdown.

If you add an email address to the Website, you'll see any contact information BuzzStream has discovered for that website.

If you add a Person, you’ll fill in the Person’s name and email address. You’ll also have access to the Discovered Contact Information.

Once you’re done, hit Save, and the error will be resolved.

2. Select Recipient

This error means you either:

  • Have an email address associated with the Website, but no Person associated with that email address

  • Have multiple people associated with the Website

  • Have multiple email addresses associated with the Website

One way to fix this error is by creating a Person or associating an existing person with the email address you have on file.

To do that, click on the error name [Select Recipient], then hover over the email address you’d like to use. On the right, you’ll see green text saying “Add to a Person.” Click on that green text, and fill in the Person’s name.

If the Person already exists in your database, you can select their name from the dropdown that will appear as you type their name out. Otherwise, if the name you enter does not exist in your database, you’ll create a new Person once you hit Save.

Another way to fix this error is to specify which of the People or email addresses associated with this Website do you want to receive the email. To do that, click on the error name [Select Recipient], then select your desired Person or Website email address from the drop down.

3. Missing dynamic field information

This error occurs when a Person or Website is missing information that is going to be used in the dynamic fields in your template.

If only a few of your contacts are missing dynamic field information, you can fill it in manually by clicking on the [missing] tag, then typing in the desired information, and hitting Enter. Once you do, your error will be resolved.

If you have many users missing dynamic field information, we recommend using an Import to update those fields in bulk.

4. Already Used Email Address

This error means you already have this email address associated with another contact that you’re trying to send outreach to in this Bulk Send session.

To fix this error, click on the ellipses button (...) on the right side of one of the email addresses with the “Already Used Email Address” tag. From there, select “Remove from list,” and the error will be resolved.

5. Invalid email address

This error means the email address associated with your contact is not a valid email address.

To fix this error, review the email address for syntax errors, or add a new email address that is valid.

I received an error message when using Bulk Send from the People list. What do I do?

There are the four possible errors you can encounter when using Bulk Send in People:

  1. Missing Email Address

  2. Missing dynamic field information

  3. Already Used Email Address

  4. Invalid email

Let's walk through what each one means, and how you can resolve it.

1. Missing Email Address

This error means that you don’t have an email address for a Person you’re trying to send outreach to.

To fix this error, click on the error name [Missing Email Address], then select “Add email address.” From here, you’ll enter an email address, hit Save, and your error will be resolved.

2. Missing dynamic field information

This error occurs when a Person is missing information that is going to be used in the dynamic fields in your template.

3. Already Used Email Address

This error means you already have this email address associated with another Person that you’re trying to send outreach to in this Bulk Send session.

To fix this error, click on the ellipses button (...) on the right side of one of the email addresses with the “Already Used Email Address” tag. From there, select “Remove from list,” and the error will be resolved.

Note that this tag is not telling you that you've sent to this same email address in a different Bulk Send campaign, only that you're trying to send to the same email address twice in your current Bulk Send campaign.

4. Invalid email

This error means the email address associated with your Person is not a valid email address. To fix this error, review the Person’s email address for syntax errors, or add a new email address that is valid.
